Document Permission Groups allow you to create group permission settings. Firstly, create a permission group by clicking "Add Permission Group" and choosing a name and a description:
Then, click on Edit and you will see the following modal:
You should firstly select one or more users to belong to the permission group:
Next, choose whether the permission should be "Read" or "Edit"
Next, select the Document Type(s) to which the permissions should apply:
Users in the permission group will only have access to documents that match the Document Type.
Document Groups allow you to separate documents by logical groups. Suppose for example, that your company is divided into Legal, Finance, and Operations teams. To configure permissions, you would firstly create "Legal", "Finance", and "Operations" Document Groups in Field settings.
Then, you would apply the "Legal" Document Group to legal documents, the "Finance" Document Group to finance documents, and the "Operations" Document Group to operations. This can be done in the Review screen or in the Single File View screen.
By default, Aerofiler only comes with one default Document Group, (Blanks). If the (Blanks) permission is applied, this means the user has permissions to documents with no Document Groups set.
Putting It All Together
In the following example:
the Document Permission Group is configured to have two users:
- Legal One
- Legal Two
Those users have Read permissions to any document that:
- is of "Employment" Doc Type; and
- belongs to "Group A", "Group B", or both.
